Role dimensions of an Executive Assistant:
  • Management of Emails, telephone calls and correspondence ensuring that emails are responded wherever appropriate and only required calls are received by the management. 
  • Managing heavy calendar and sorting requests for the manager’s time ensuring that the priorities are met on timely manner. Managing appointments and ensuring that the management’s diary is up-to-date. Coordinate invitations at VIP/High government office/Ministerial level. Drafting letters, reports and documents as and when required by management. Typing should be well presented and accurate. Collating data and information and present it to management when required.
  • Coordinating and confirming travel arrangements for Management. Keep itinerary up-to-date and accurate. Provide itinerary to the management as and when required. Liaise with travel agencies to ensure service levels are maintained.
  • Work with multiple stakeholders both internal and external across the globe. Interact and liaise between management and senior level executives, expatriates, dignitaries, Government officials and VIPs. Assist clients in a professional and courteous manner and facilitate client’s travel and accommodation. 
  • Ensure effective document and record management. Creating and modifying documents and presentations for the Management. Follow up on issues delegated to you. Schedule and coordinate Board Meetings, events, conferences etc. undertake small projects as directed by management including review and research of information. 
Ideal candidate should have:
  • Prior experience working as EA to Senior Management 
  • Strong knowledge of secretarial and administrative procedures
  • Experience in heavy Calendar Management, Email Management and Travel Management
  • Excellent Organizational skills and ability to prioritize work
  • Demonstrate proactiveness under unpredictable circumstances
  • Should be tactful in dealing with people and situations
  • Should have experience interacting and working with Expatriates ministers, VIPs and Dignitaries
  • Ability to Build and maintain relationships
  • Excellent interpersonal skills
  • Strong communication skills
  • Strong in Microsoft Office suite
  • Document and files management skills
  • Should be able to maintain confidentiality
  • Should be able to multi-task and work under pressure and deadlines
  • Should be able to work independently without supervision
